Presenter Instructions

To appear in the conference proceedings, all accepted papers must be presented at the conference, even in the virtual conference. Please carefully follow these instructions to ensure the successful presentation of your contribution.

DEADLINE FOR UPLOADING THE REQUIRED MATERIAL AS PER THE FOLLOWING INSTRUCTIONS:

FEBRUARY 25th, 2022

Oral presentations at PerCom 2022 can be delivered via live presentation or through a pre-recorded presentation. If you plan to give a live presentation, we strongly recommend that you do a practice via Zoom (with others watching via Zoom), just so you’re used to the platform and its tools.

Regardless of the mode you will select, it is mandatory that you prepare a pre-recorded video of your presentation in order to ensure a backup solution in case of connection outages or other issues. The video will be also made available to the other attendees.

In the preparation of your video, consider the following guidelines:

  • You can use any tool to record your recording. However, as we will be using Zoom to run the virtual conference, we strongly suggest to use Zoom to pre-record your presentation. Instructions as to how to record your presentation talk with Zoom can be found here.
  • We suggest to use 16:9 format for your videos
  • Videos should be recorded in one of the following formats: mp4, avi
  • Make sure that your video adheres to the time constraints reported below.

If you opt for a live presentation, the video will be played only in case of technical difficulties, otherwise the pre-recorded video will be played live during the session by one of the virtual conference assistants. If, instead, you opt for a pre-recorded presentation, the presenter must be connected in any case in order to take questions from the attendees after the presentation.

Remember that, failing to be present live during your session without strongly justified reasons, will be considered as a no-show, and the paper will be excluded from the PerCom 2022 proceedings. This applies to the main track as well as to all the affiliated events.

In addition to the pre-recorded video of your presentation, we also encourage you to prepare two other short videos. The first one is MANDATORY for some category of papers, as specified in the table at the bottom of the page. See the summary at the bottom of the page for requirements and maximum lengths of the videos):

  • A “teaser” video, explaining the key contribution of your paper
  • A “meet the speaker” video, explaining the broader context of your research related to your paper (what you aim at, why it is important, why it is exciting, …)

Teaser videos will be made available shortly before your session, and will remain available on the percom.org website as a post-event quick summary of the papers.

“Meet-the-speaker” videos will be made available on percom.org before the event and will be available throughout the event and afterwards.

Ensure that the video of your presentation adheres to the time constraints of each track/workshop (indicated below, but for the worskhops, for which we redirect you to the respective workshop organisers).

Instructions on how to practically upload your videos will be provided via mail around mid February, and also posted on this page.

Remember that the deadline for uploading the videos according to these instructions is February 25th. We strongly encourage you to start preparing your videos already now.

After preparing your pre-recorded video and the other material you must perform the following steps:

  1. Save the video file of your TALK according to the following convention:
    SESSIONCODE_ PAPERNO_NAMEOFPRESENTER (e.g. S1_1_VALLATI).
    The SESSIONCODE and PAPERNO can be found on EDAS under the field ‘Session’.
  2. Save the video file of your TEASER according to the following convention:
    SESSIONCODE_ PAPERNO_NAMEOFPRESENTER_teaser (e.g. S1_1_VALLATI_teaser).
  3. Save the video file of your MEET-THE-SPEAKER according to the following convention:
    SESSIONCODE_ PAPERNO_NAMEOFPRESENTER_speaker (e.g. S1_1_VALLATI_speaker).
  4. Register yourself as presenter on EDAS: Login -> select the paper in the ‘My Papers’ section -> list yourself as ‘Presenter’.
  5.  Fill the google form to provide details on your presentation and upload the videos: https://forms.gle/3Q29Lt4b5U1JxZxv5  

Please note that if you are the presenter of multiple papers you need to fill the form multiple times.
