Instructions for virtually attending

Sign in to Whova

Please make sure to use the email you used when registering for the event. Whova can be used on a computer (Web app) or mobile device (Mobile app). Please note that we encourage you to join the sessions via Whova.

  • Go to the PerCom 2022 Whova-page: https://whova.com/portal/webapp/iicpc_202109/sign_in/.

  • Click Sign-up Here. We have registered your email (which you have used during the conference registration) to Whova.
  • Enter your name, email, and choose a password. As email, you have to use the email by which you have registered to the conference.

  • Whova will ask you to add further details to your profile. It is not mandatory to do this. You may still provide such information later if you wish so.

Agenda

  • Find the Agenda tab on the left side of the screen. You should see a list of sessions for that day. Please note that the Agenda on Whova is based on the CET time zone and can be switched to your local time zone.
  • Link to the Agenda: https://whova.com/portal/webapp/iicpc_202109/Agenda.
  • If needed, you can add a session to your Agenda.
  • Click on View Session to access the Zoom room where the session will take place in.

  • Sessions can be filtered by selecting tracks (topics, represented by colours).

  • Session with parellel tracks (such as the WiP Panels) will be organized in subsessions.

  • During the coffee break, there are 5 meeting rooms (with Zoom links) for the attendees to spontaneously discuss to each other.

Help Desk

  • We provide an always available (during the conference time) help desk, which can be reached via Whova at the Reception Desk and Technical Support session:

  • The help desk will support you to, for example:
    • obtain a dedicated Zoom room in Whova for unplanned private meeting
    • try your Whova/Zoom setup before your session starts (see the “Presentation” section below)
    • address you to the right organising team member in case of any other issues

Presentation

Presenters (Speakers)
  • Make sure your camera, network, and microphone work.
  • Make sure you have the Whova links to join the live session. Check the agenda and choose the links accordingly. The links are sent by email to all registered attendees.
  • In 15 mins before the session, please connect to the help desk (the Reception Desk and Technical Support session), ask to be allocated one breakout room for your session, and check with the other presenters, your session chair, and the Zoom master that everything is ready for your session to start. Then, feel free to connect back to the main Zoom room of your session (in Whova).
  • The chair will introduce you before you start your presentation.
  • To share your slides, click “Share Screen”, and select the window/screen of the presentation you want to share.
  • In the main track, the length of the presentation for a full paper is 25 minutes plus 5 minutes for discussion. That of a concise paper is 15 minutes and 5 minutes, respectively. For other papers, see the time constraints in the presenter instruction.

  • In case of any issue, go to the Reception Desk and Technical Support session.
Chairs
  • Make sure your camera, network, and microphone work.
  • Make sure you have the Whova links to join the live session. Check the agenda and choose the links accordingly.
  • In 15 mins before the session, please connect to the help desk (the Reception Desk and Technical Support session), ask to be allocated one breakout room for your session, and check with the presenters and the Zoom master that everything is ready for your session to start. Then, feel free to connect back to the main Zoom room of your session (in Whova).
  • The Zoom master of the session will make you a co-host, but your main task is to keep track of time.
  • When the session starts, introduce the presenter (name, affiliation, short bio, and title of the paper).
  • 5 minutes before the scheduled end of each presentation, remind the presenter to finish in 5 minutes. When the time is up, tell the presenter to stop.
  • After the presentation, invite the audience to ask questions.
  • You, as a session chair, will decide the order of these questions and un-mute attendees accordingly. The discussion is scheduled to take 5 minutes. Remind the audience that Whova can be used for questions and discussion also after the session.
  • We will give a round of applause at the end of the session to all the presenters of the session.
