Call for Bids

General information about the event

PerCom typically rotates between North America, Europe, and Asia, and is scheduled during the month of March, with weeks 3 and 4 being preferred. The conference runs for the entire week, with Monday and Friday allocated for workshops, and the plenary events scheduled on Tuesday, Wednesday, and Thursday. Typically, the conference reception and banquet are on Tuesday and Wednesday, respectively.
The General Chair(s) (GC) are determined by the SC, who usually consider the proposer(s) as candidates. Hence, proposers should have a track record in pervasive computing and be well-known to the PerCom community (e.g., having served successfully in a major role in one or more top conferences).

Information items to include in your bid

  • Name and affiliation of the proposer(s)
  • Proposed year and dates (please indicate if you have flexibility)
  • Information regarding access to the city hosting the conference from the main international cities.
  • Proposed venue satisfying the following requirements:
    • A main room hosting 300-350 people for the plenary events (Tues, Wed, Thurs);
    • Close to the main room or where coffee breaks take place, there should be a space for at least 20-40 poster stands;
    • At least 8 smaller rooms (approx. 25-40 each) for workshops on Monday and Friday;
    • Space for demo desks during the demo session scheduled on the main conference days; and
    • Availability of AV facilities and efficient WiFi networking capable of handling 400+ connected devices.
  • A video tour or pictures of the venue facilities
  • Ideas for hosting the reception and banquet
  • Information about hotel rates
  • A preliminary budget covering expected venue costs and conference expenses
  • Information about the local team (including name and affiliation of Local Organization Chair)
  • Potential opportunities for local sponsorships
  • Anticipated number of participants from the host country
  • Local Amenities: Availability of local attractions, dining, and entertainment options for attendees. Weather info for the city during March.

The proposer(s) may suggest candidates for TPC chair, workshop chairs, and the finance/registration chair, but these roles will be decided and appointed by the SC.
After a successful bid, the GC(s) will collaborate with the SC to finalize venue details and selection of the rest of the organizing committee.

Selection Process

The PerCom SC will evaluate bids. Selected bidders will be invited to make a presentation at the SC meeting during a PerCom conference. Invited bidders are expected to participate at their own cost. The SC will provide feedback and work with selected presenters to schedule the PerCom conference(s) in the following year(s).
